How to redact a bank statement safely
Learn which bank-statement details may need redaction, why covering text is unsafe, and how to verify a sharing copy.
Decide what the recipient actually needs
Start with the purpose of the request. A landlord, lender, adviser or support service may need different evidence. Removing too much can make the statement unusable, while removing too little can expose account details or unrelated transactions.
Do not assume that every request permits alteration. Ask the recipient what can be obscured and obtain appropriate advice where the statement is being used for a legal, regulatory or financial decision.
Identify repeated and contextual information
Statements can repeat names, account numbers and addresses in headers or footers on every page. They may also include sort codes, transaction references, merchant names, balances and QR codes. Search helps locate repeated text, but visual review remains essential.
Scanned statements may not have searchable text. OCR can assist discovery, although recognition errors mean that identifiers must still be checked visually.
- Account and card numbers
- Home address and contact details
- Unrelated transactions
- Reference numbers and QR codes
- Information repeated on continuation pages
Apply permanent redaction
A drawn rectangle can leave the original text underneath. Permanent redaction must remove or flatten the selected content so it cannot be revealed by search, copy and paste, layer inspection or deleting an annotation.
Work from a duplicate and create a separate sharing copy. Paperuna rebuilds affected pages into flattened images, which sacrifices selectable text and interactive elements in exchange for removing the original page objects beneath the selected regions.
Verify before sharing
Open the output as a new file. Search for every sensitive term, try copying text around the redacted regions and inspect all pages at useful zoom. Check the filename and remove common PDF metadata separately if it reveals an identity or internal title.
Keep the unaltered statement securely. If the document is particularly sensitive, ask another trusted person to review the sharing copy against a written redaction checklist.
Send only the verified sharing copy. Reopen the exact attachment from the draft message before sending, because similarly named original and redacted files are easy to confuse. Where possible, use a clear filename that identifies the document as the reviewed redacted copy.
Hands-on practice
Practise secure redaction
Use fictional data first, then repeat the workflow with your own document once you understand the result.
Common questions
Can I simply draw black boxes over a bank statement?
No. A visual covering may leave recoverable text underneath. Use a workflow that permanently removes or flattens the selected regions.
Does redaction make a statement acceptable to every recipient?
No. The recipient decides what evidence it accepts, and some formal processes may require an unaltered statement.
